Overview

ESIC registration or Employees State Insurance registration is a social security program that offers medical and disablement benefits to the employees. It is overseen by Employee State Insurance Corporation and falls under the ESI Act, 1948. ESIC assures this provision to all the employees pan India. It is an autonomous body under the Ministry of Labour and Employment.

Who needs to do it?

The entities which are eligible to ESIC registration are

  • If the company/entity has at least 10 employees (20 in some states) then it is a necessity.
  • Also, if all the employees are paid under Rs.21,000 per month, then 1.75% by the employee and 4.75% by the employer. So, it totals up to 6.50% of the total income of the person.
  • It is mandatory for all the companies/industrial units where 50-90% of injuries happen during the office premises.
  • Entities include Shops, hotels, restaurants, cinemas including preview theatre, road motor transport undertakings, newspaper, Private Medical and Educational Institutions employing 10(20 or more persons in certain States) persons are required to get ESIC registration online
  • Employing 20 persons is not enough. The amount of wage, as indicated under Section 2(9) of the ESI Act, needs to be followed as well to be eligible for ESIC registration.

Documentation process for ESIC registration

  • Registration certificate. If it is a factory, then the certificate under the Factories Act, if it is a shop/establishment, then the Shops and Establishment certificate is required.
  • If it is a company, then the Certificate of registration or if it is a partnership, the partnership deed.
  • Memorandum of Association or Article of Association of the company
  • List of all the employees along with their compensation details
  • List of all the directors/partners/shareholders along with their addresses
  • Pan card of the company and of all the employees working in the company
  • A canceled cheque from the bank account in the name of the company
  • Total number of working days of the employee

Online Procedure of ESIC Registration

  • First, go to www.esic.in and click on signup
  • Enter the initial details like company name, Principal employer name, state, region, email id, and phone number. Click submit
  • Check your mail for login credentials.
  • After logging in using the information available in the mail, click on “new employer registration”
  • Select the type of unit you are operating, a shop, company, partnership firm and so on.
  • Now, ESIC registration form-01 appears. All the fields with an asterisk (*) are mandatory to be filled.
  • After filling in all the necessary details, the credentials will be checked.
  • A new 17 digit exceptional character will be given to the association.
  • Employees registered under ESI will get an ESI card after submitting photos with subtle elements of relatives
  • ESI registration is valid until the lifetime of the firm/establishment but any amendments needed to be made shall be informed to ESI.

  • Sickness benefits are provided in a total of 70% of the total salary, in case sick leave is taken (mentioned under certified illness) for a maximum of 91 days.

  • Maternity benefits to the employee for a period of 3 months
  • In case of death of an employee while on work, then 90% of the salary will be provided to the family members every month after the demise

Introduction

ESI Scheme is basically a self-finance comprehensive scheme which has been launched to safeguard the financial distress of the employees arising out of the events of sickness, disability or any kind of employment injuries that may lead to death. To protect the employees from such uncertainties, the ESIC (Employee’s State Insurance Corporation) has been set up under the ESI Act 1948, which is responsible for the administration of the ESI scheme. In this article, we will discuss how to log in the ESIC portal and what are the services offered by it.

ESIC Portal and the services offered

The ESIC portal provides a wide range of services in order to ensure hassle-free services to the employers and beneficiaries. Its services include ESI registration, online payments, information sharing, grievance redressal, and support to name a few. Who is eligible for ESI Registration?

As per the ESI Act, this ESI scheme is applicable in implemented areas and applies to all factories and establishments which are employing 10 or more employees. Those employees whose salary is Rs. 21000 will be eligible to avail the benefits of the ESI but employees who are earning above Rs. 21000 will lose their ESI membership. There are several benefits in terms of cash and non-cash for the insured person.
Following are its cash benefits: 
  1. Sickness
  2. Maternity
  3. Disablement
  4. Funeral expenses
  5. Medical bonus etc
Following are its Non-cash benefits:
  1. Medical care for themselves
  2. Medical care for Family

However, there is no upper ceiling on medical care expenditure for the beneficiaries.

Process for ESI

Employers who are coverable as per the ESI Act must register online within 15 days at www.esic.in. As soon as they will be registered successfully, they will get 17 digits of unique employer code. There is no need for fresh registration if the employer is already having this 17-digit code. Rather, he/she can get sub-codes generated in respect of its branches. The sub-codes should be generated only in respect of branches located outside the jurisdiction of the regional or sub-regional office in which the main office is located.

This ESIC portal is very user-friendly that has covered all compliances required under the Act. After the ESI registration, the employer can proceed with the given services under the Act without the need of visiting the ESI offices even once:

  1. Registration of employers and employees
  2. Issuance of Temporary Identification Card (TIC)
  3. ESI contribution through online payment by the employers or online generation of challan for contribution payment
  4. Payment of cash benefits at Branch offices
  5. Facilitation of Medical Care at hospitals
  6. Lodge grievance online and get redressal

Procedure to ESIC portal Login

Once the employer will get the “employer code” then you can log in to the employer portal and register its employees as soon as they are being employed. In the beginning, the employee registration needs to be done by himself under the ESI scheme by declaring his personal details such as details of his family members, residential areas of each and every family members including himself, and the dispensary in which they want to avail the medical treatment etc. After the procedure of registration, the employee will get the insurance number which is generally a unique and valid number throughout the life of the employee agnostic of job changes.

In the end, a Temporary Identity Card (TIC) will be generated. Its validity is for a period of three months from the date of registration within which the employee has to enroll for the Pehchan Card.

This ESI scheme is not only contributed by the employee but by both the employer and the employee. There is a fixed rate contributed by the employer i.e 4.75% and the employee will contribute 1.75% of his salary. Employees who are earning less than Rs. 137 as a daily average wage are exempted from the payment of their share of contribution. Once the employer is done with the registration procedure, the insured person (IP) can log in to the IP portal (www.esic.in/employee portal/login.aspx) as shown below with their insurance number as the user id and ascertain the details of contribution paid on their behalf, their entitlements to various benefits prescribed by the ESIC etc.

  • How to check PF balance by using EPFO Portal

The first and foremost thing to be remembered is UAN (Universal Account Number). The employer must activate his UAN. It is obviously unique for all the employees enrolled under the EPF scheme. UAN number is generally allocated by the Employee Provident Fund Organisation (EPFO). It is mandatory for all the employees to have only one UAN during their working life irrespective of the companies they change.

As soon as the UAN activation is done, follow the below step:

STEP 1.

Visit the EPFO Portal. Go to the tab “Our services” and select the option “For employees” from the drop-down menu.

STEP 2.

Then, click the given option ‘Member passbook’ under the option “Services.”

STEP 3.

Afterward, the login page will appear. Now, you can enter your UAN number and password here after it has been activated.

Here, you can access your EPF account.

  • How to check PF Balance and statements by sending an SMS

First of all, it is essential to integrate your UAN number with your KYC details, such as Aadhaar or PAN or bank account details. Then you can be eligible to access your EPF balance by SMS process.

You can follow the given steps only when you are done with the integration of the KYC procedure.

STEP 1.

Just send an SMS to the mobile number 7738299899.

STEP 2.

Now, send a message as EPFOHO UAN ENG.

For this, you need to set your preferred language for communication. This can easily be done by using the first three characters of your preferred language. If you are willing to receive updates in English, then use the first three characters of the word English like EPFOHO UAN ENG— where ENG denotes English.
In case, you want to receive the message updates in Marathi, then types in EPFOHO UAN MAR— where MAR denotes Marathi. The language facility is available in English, Hindi, Gujarati, Punjabi, Marathi, Kannada, Telugu, Tamil, Malayalam, and Bengali.

  • How to check PF Balance and statements by giving a Missed call

You can also give a missed call to the authorized phone from your registered mobile number. But this service is only available upon the integration of your UAN with your KYC details. You can take help from your employer in case you find any difficulty.  As soon as the UAN is integrated with your KYC details, follow the steps mentioned below:

STEP 1.

Just give a missed call to 011-22901406 from your registered mobile number.

STEP 2.

After that, you will receive an SMS providing you with PF details.

  • How to check PF balance and statements by using EPFO App

Same as above, the employer must have an active UAN number. You can check your PF balance and statements by downloading the “m-sewa app of EPFO” from the Google Play Store. All you need to follow the following steps:

STEP 1.

As soon as the app downloaded, click on “Member” and then go to “Balance/Passbook”.

STEP 2.

Then, enter your UAN and registered mobile number. Your mobile number will be verified against your UAN. Once all the details check out, you can view your updated EPF balance details. If any mismatch happens, it will display an error.

The government has recently launched an app known as “UMANG”. It helps in merging different government services like Aadhaar, gas booking, crop insurance, NPS, and EPF. Besides, you can also use this app to check EPF details. After installation, you can find the EPFO option from the app’s homepage under the head “Employee Centric Services” option and access your EPF account details. Universal Account Number

With Universal Account Number (UAN), employees can merge their multiple PF accounts and manage it like one. At the time of shifting jobs, all that the employee has to give his/her employer is his/her UAN. Now, EPFO has launched the UAN portal in which subscribers can merge as many as 10 PF accounts in one go. According to that, the employee is required to seed his/her bank account with the UAN, as well as attach details of their Aadhaar card and PAN in order to avail the facility.

How to change Mobile Number if forgot the password?

In case, a subscriber has changed his/her mobile number and has forgotten his/her password, then through the following steps given below can help him/her to change the mobile number and the password:

  • Go to the UAN portal.
  • Then, enter your UAN number and click on “forgot password”.
  • Now, Re-enter your UAN number and enter the captcha code.
  • On the screen, your existing mobile number will be displayed, if you wish to change it, click on “no” for the question if you want to confirm the mobile number.
  • After that click on “verify” document number on the page that displays your name, gender, date of birth, KYC details, etc.
  • Provide a new mobile number.
  • Select the “get authorization PIN” tab.
  • As soon as the steps will be done, your new mobile number will be registered in the UAN database.

What are the other ways to Change Mobile Number?

For the Employee Provident Fund subscribers that have no access to the internet, they can opt for the offline mode to change their EPF registered mobile number. But for this, the subscriber will have to fill in a form with the mobile number change and submit it to one’s employer. Your form will be forwarded to the regional PF office for approval. It will take around 15 working days for verification and approval. As soon as the mobile number has been changed, the subscriber will receive a notification message from the EPFO that his/her mobile number has been changed.

How can we generate UAN?

  • Go to the EPFO website.
  • Select “Our Services” option.
  • Click on “For Employees”.
  • Choose the “Register or Activate UAN” link.
  • Then, fill in your KYC details like your name, mobile number, passport number, Aadhaar card number, bank account number etc.
  • Now, upload a scanned copy of your signature and passport photograph.
  • As soon as you will click on “Submit”, an authorization PIN will be sent to your registered mobile number. Immediately enter the PIN.
  • As soon as the PIN will be entered, your UAN will be generated. The next step is to activate your UAN.

How can we activate UAN?

Subscribers who are new to the EPFO member portal, they can follow the steps mentioned below to activate their UAN.

  • Go to the EPFO services link -http://uanmembers.epfoservices.in/uan_reg_form.php
  • Choose the “Service Tab”.
  • Click on the “For Employees” option.
  • Choose “UAN Activation”.
  • Provide your registered mobile number, PF details, and UAN once the page is displayed.
  • Provide the details such as father’s name, date of birth, etc.
  • Provide your authorization PIN.
  • Select the “Activate UAN”.
  • Now, create a username and password to complete the process.

PF Claim Status

Employees Provident Fund is basically a social security and savings scheme for an employee in India. Employers who are engaged in certain Industries and engaging 20 or more employees are required to enroll all employee under PF on the Unified Portal and provide UAN. This article is based on the procedure for viewing PF claim status through various methods like EPF website, UMANG App, missed call and SMS.

Any employee can check his PF claim status after making an application for PF withdrawal. In case, if an employee is having UAN then the PF claim must be made in PF claim form 11. It does not require the employer’s attestation and can be submitted online through the unified portal.

In case, an employee is not having UAN can apply for PF claim using PF claim form 19. It must be attested by the employer and employee and submitted at the nearest EPFO office.

How to check the Online PF claim status?

To check PF claim status online, all you need to access the PF claim check website and follow the steps provided below:

STEP 1.

First of all, submit the employees UAN. Employees who have made PF contributions after 2014 will receive UAN. Whereas the employees who had contributed to EPF before 2014 can apply for a UAN number from the EPF department.

STEP 2.

Now, select the Member ID pertaining to the claim. Employers will issue the member ID.

STEP 3.

In the last page, the PF claim status will be displayed.

How to check PF claim status through UMANG App?

There are several ways of checking PF claim status. You can do it by downloading the UMANG App also. It provides seamless integration of government services like Employees Provident Fund, Aadhaar, and Digilocker. Not only this but it is available in both Android and iOS format.

How to check PF claim status through a Missed call?

Employees who are registered on the unified portal and having UAN can also get their EPFO details by giving a missed call at 011-22901406 from the mobile number registered on the UAN portal. The UAN of the member must have been updated with a bank account, PAN and Aadhaar details.

Give a missed call to 011-22901406 to get a PF Claim status. The call would be disconnected after two rings and there would be no call charges. Then, the employee would receive details of his/her PF account following the missed call as SMS.

How to check PF claim status through SMS?

You can also check the PF claim status through SMS. The employee can avail this opportunity if he has UAN and is registered on the Unified portal.

Send an SMS to 7738299899 from a registered mobile number with the following content:

“EPFOHO UAN”

This facility is available in English (default) and Hindi, Punjabi, Gujarati, Marathi, Kannad, Telugu, Tamil, Malayalam, and Bengali. For receiving the SMS in any of the languages other than English, First three characters of the preferred language need to be added after UAN. For instance, to receive an SMS in Telugu then SMS to be sent will be “EPFOHO UAN TEL” to 7738299899.

Given below are the languages available and the associated SMS code:

  1. English – Default
  2. Hindi – HIN
  3. Punjabi – PUN
  4. Gujarati – GUJ
  5. Marathi – MAR

National Pension Scheme (NPS)

National Pension Scheme (NPS) is basically a pension scheme sponsored by the government wherein an eligible citizen can contribute to a pension account on a regular basis to receive benefits after retirement. It was launched in January 2004 and was made available to citizens of all sections between the age of 18-60 from 2009. Overall, the objective of the National Pension Scheme is to make sure that the citizens earn a decent return on investments after their retirement.

Types of National Pension Scheme

There are only two types of NPS accounts:

  1. Tier-I NPS Account– It is a basic type of pension account with withdrawal limitations.
  2. Tier-II NPS Account– In this type, the withdrawals are not limited in this voluntary savings option.

Eligibility

NPS is for all Indian citizens, both residents as well as NRIs. However, the following are the eligibility criteria should be met:

  1. The Minimum age of a subscriber should be at least 18 years and less than 65 years of age at the time of application.
  2. The applicant must be mentally healthy.
  3. The conditions of KYC should be adhered mentioned on the registration form by the subscriber before signing the form.

Documents required

  • Subscriber registration form.
  • Photo ID proof.
  • Proof of Date of Birth (DOB).
  • Proof of residence.

How to join the National Pension Scheme?

Following are the steps:

STEP 1.

First and foremost step is to obtain a Permanent Retirement Account Number (PRAN) application form. It is available at Service Providers (POP-SP) and is available online from the NPS official website. Make sure that the details are filled correctly. You can download PRAN application form below:


STEP 2.

Now, submit the PRAN application form at the nearest point of presence-service provider (POP-SP).

STEP 3.

Then track the PRAN application using the link: https://cra-nsdl.com/CRA/pranCardStatusInput.do

STEP 4.

Submit the first contribution slip. At the time of applying for registration, a minimum Rs. 500 should be contributed. Additionally, an NCIS (instruction slip) should be submitted, stating the details of the payment made towards the PRAN account.

Partial Withdrawal from National Pension Scheme 

As per the law of Pension, withdrawal is not allowed until maturity i.e until the retirement age. Same as the other pension plans, the National Pension Scheme allows partial withdrawals, but only for specific reasons (medical issues, for higher education/marriage of children)

It has been decided by the Pension Fund Regulatory and Development Authority (PFRDA) that the NPS subscribers will now be permitted to make partial withdrawals to attain new skills or improve one’s employability by acquiring a technical or professional qualification.

Partial withdrawals under specific circumstances as specified in such regulations in accordance with the PFRDA is eligible for subscribers who have subscribed to this scheme at least for a period of three years from the date of joining and can withdraw for a maximum of 3 times during the advancing period.

Partial withdrawals form National Pension scheme u/s 10 (12A) actually refers to the relief made by the Pension Fund and Regulatory Development Authority (PFRDA) by easing the norms for partial withdrawal. Any pensioner of 60 years of age is admissible to withdraw 60% of his contribution and the balance 40% must be utilized to buy an annuity. Before the maturity, if the subscriber exists then only 20% of the contribution is allowed to be withdrawn and the balance if which is taxable.

According to section 10 of the Income Tax Act, the closure of the account or opting out of the scheme, the payable amount would be exempted from tax if the amount is within 40% of the contribution. On the other hand, the existing provision of section 10(12A) of Income Tax Act, 1961 states that a tax-exempt up to 40% of the total amount payable. It may further provide reliefs to the subscribers of the National Pension Scheme were also made on partial withdrawals by inserting a new clause (12B) to section 10 of the Income Tax Act. But the partial withdrawal is related to the contribution of the subscriber. Overall, it means that the amount withdrawn by the pensioner is tax-free if it does not exceed 25% of the total contribution. Other relaxations were also made besides this.
